AI Email Tools That Save Me Hours Every Week

I receive between 200 and 350 emails per day. That is not a flex. It is a problem. Between partnership inquiries, reader feedback, support tickets, newsletter subscriptions, and the usual administrative noise, my inbox used to consume two hours of every workday.

Over the past year I have built an AI-powered email workflow that gets that number down to about 30 minutes. Here are the specific tools I use and how they fit together.

Shortwave: My Primary Email Client

Shortwave replaced Gmail as my daily email client. It is built on top of Gmail but adds an AI assistant that can summarize threads, draft replies, and schedule emails.

The feature I use most is thread summarization. When I open a long email thread with 15+ messages, Shortwave gives me a one-paragraph summary of what happened, what decisions were made, and what is pending. This alone saves me 20-30 minutes per day because I no longer need to scroll through entire threads to understand context.

Shortwave also has a "type to reply" feature that generates a draft based on your brief instructions. I type something like "agree to the timeline but push the deadline to next Friday" and it generates a professional email incorporating the thread context. I edit and send in seconds.

Cost: $20/month. Saves me an estimated 45 minutes per day.

SaneBox: The Filter Before I See Anything

SaneBox sits between my email server and my inbox. It uses AI to classify incoming emails and route them to the right folder. Important emails stay in my inbox. Newsletters go to a separate folder. Low-priority messages go to a "SaneLater" folder that I check once a day.

The AI training happens automatically as I move emails between folders. After about two weeks, it learned my preferences accurately. Partner emails from people I have replied to before go to my inbox. Cold outreach goes to SaneLater. Automated notifications go to a digest.

Cost: $7/month. The time savings are harder to quantify because SaneBox prevents me from seeing low-value emails in the first place, but I estimate it reduces the number of emails I actively process by about 60%.

ChatGPT for Complex Responses

For emails that require careful, nuanced responses, I use ChatGPT. I copy the email, provide context about the situation, and ask ChatGPT to draft a response with specific guidance on tone and content.

This is not for routine replies. Shortwave handles those. This is for partnership negotiations, detailed technical explanations, sensitive communications, and any response where getting the tone wrong would be costly.

I use a consistent prompt template: the recipient, the context, my goals for the response, and specific points I want to cover. ChatGPT drafts the email, I review and edit, and send it through my regular email client.

The time saved here is significant. Drafting a carefully worded business email used to take me 10-15 minutes. With ChatGPT assistance, it takes 3-5 minutes.

Zapier + OpenAI for Automated Follow-Ups

I have a Zapier automation that catches specific email patterns and triggers automated responses.

When someone emails asking about partnership opportunities, Zapier detects keywords, sends the email content to OpenAI, and generates a personalized initial response that acknowledges their email, provides our partnership guidelines, and asks for specific details about their proposal.

This automation handles about 10-15 emails per week that would otherwise each need a 5-minute manual response. The AI responses are professional and specific enough that most senders do not realize they are automated. Human follow-up happens for any conversation that progresses past the initial exchange.

What I Tried and Dropped

I want to be honest about what did not work for me.

Superhuman at $30/month was not worth the premium over Shortwave for my use case. The keyboard shortcuts are great but the AI features did not justify double the price.

Crystal (AI personality prediction) sounded useful for sales emails but the predictions were often wrong and the workflow was clunky. Dropped after one month.

Lavender for AI email coaching was interesting but the suggestions were repetitive after a few weeks. Better as a learning tool than a daily productivity tool.

The Math

My email costs and time savings:

Total email-specific cost: about $42/month.

Time saved: roughly 1.5 hours per day, which is 7.5 hours per week, which is about 30 hours per month. At any reasonable value of your time, $42 is a trivial investment for that kind of savings.
